Privacy Policy

KaraoClip is a private platform for creating collaborative video greetings for life's celebrations — birthdays, weddings, bar and bat mitzvahs, new babies, and other special moments. An organizer invites a group of people, each person records a short video on their own, and KaraoClip combines everyone's recordings into one finished greeting that is revealed together.

This Privacy Policy explains what information we collect, how we use it, and the choices you have. We've written it in plain language because we want it to be genuinely readable — not just legally complete.

1. Who this policy covers

This policy applies to everyone who uses KaraoClip:

• Organizers — people who create an account and start a greeting.
• Participants — people invited to record a greeting. Participants record through a guest link and are not required to create an account.
• Recipients and viewers — people who watch a finished greeting.

KaraoClip is a private, invitation-based platform. It is not a public social network, and greetings are not posted to any public feed.

2. Information we collect

Account information

When an organizer signs in, we receive a name and email address through Google Sign-In. We do not receive or store your Google password.

Content you upload

This is the heart of the service. It includes:

• video recordings
• audio recordings
• photos
• text messages and greeting details (such as the recipient's name and the occasion)

Participants record through a guest link. Guest recordings are associated with the greeting they belong to, not with a personal user account.

Usage and device information

To keep the service working and to improve it, we collect basic technical and usage information — for example, the type of device and browser you use, general location inferred from your IP address, and how you move through the product (which pages you open, which actions you complete).

Analytics and measurement

We use analytics tools (PostHog) and a marketing measurement tool (Meta Pixel) to understand how people find and use KaraoClip. See Section 11 for more on cookies and tracking.

3. How we use your information

We use the information we collect to:

• create your greeting — including combining everyone's recordings into one finished video
• deliver the finished greeting to the people you choose
• operate, maintain, and secure the service
• communicate with you about your greetings and account
• understand how the product is used so we can improve it
• meet legal, accounting, and safety obligations

We do not sell your personal information, and we do not use the content you upload to train advertising models or for advertising purposes.

Our legal basis for processing

Where applicable law requires it, we process your information on these bases: to provide the service you asked for (creating and delivering your greeting); to comply with legal obligations; with your consent (for example, certain analytics and marketing cookies); and for our legitimate interests in operating, securing, and improving KaraoClip.

4. Ownership and the license you give us

You keep ownership of everything you upload — your videos, audio recordings, photos, and messages.

By uploading content to KaraoClip, you give us a limited, worldwide, non-exclusive license to store, process, render, synchronize, compile, and stream that content only to operate the service for you — for example, to combine everyone's recordings into one finished greeting and deliver it to the people you choose.

This license exists solely so the product can work. It ends when you delete the content or close your account, except for copies we are required to keep by law or that remain temporarily in routine backups.

5. Automated and AI-assisted processing

Creating a finished greeting involves automated steps — combining clips, synchronizing audio, balancing sound levels, and adjusting quality. These steps are performed by automated systems and may, in the future, use AI-assisted processing.

These systems operate on your content only to produce your greeting. If we introduce materially new AI features, we will update this policy before doing so.

6. The “blind chain” — how we protect surprises

KaraoClip is built around a surprise. While a greeting is being recorded, participants cannot see or hear each other's recordings. No previews, no thumbnails, no leaked clips. Everyone sees the finished greeting for the first time, together, when it is revealed.

This isn't only a product feature — it's a privacy commitment. Your recording is not shown to other participants before the reveal.

7. How we share information

We share information only in these limited situations:

• Within a greeting. The finished greeting is shared with the recipient and the people the organizer chooses. Before the reveal, recordings are kept private as described in Section 6.
• Service providers. We work with infrastructure and processing providers who help us run KaraoClip (for example, hosting, storage, and video processing). They may access information only as needed to provide their services to us, under confidentiality obligations.
• Legal and safety. We may disclose information if required by law, or to protect the rights, safety, and security of our users and the public.
• Business changes. If KaraoClip is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information to anyone.

8. Children and parental consent

KaraoClip is intended for use by adults. Organizers and participants who create an account must be 18 years of age or older. We do not knowingly collect personal information directly from children under 13 as account holders.

We know that KaraoClip is often used for occasions that involve children — a child recording a greeting for a grandparent, or children appearing in a birthday or bar/bat mitzvah greeting. Where a participant is a minor:

• The organizer who invited that participant is responsible for obtaining consent from the minor's parent or legal guardian before sharing a recording link with them.
• By uploading content that includes a minor, the person uploading it confirms they are authorized to do so and have the necessary parental or guardian consent.

If you believe a child's information has been provided to us without proper consent, contact support@karaoclip.com and we will remove the relevant content.

9. How long we keep your information

We also periodically remove content and data associated with inactive accounts. When you delete content or close your account, we remove it from active systems and from temporary processing storage. Limited copies may remain in routine encrypted backups for up to 30 days before being overwritten.

10. How we protect your information

We take the security of your recordings seriously. Our safeguards include:

• delivery of media through temporary, signed-access links rather than public links
• storage on restricted-access infrastructure
• encryption of data in transit (HTTPS/TLS) and at rest
• role-based access controls limiting which team members can access data
• short-lived processing files that are cleaned up automatically

No method of storage or transmission is ever completely secure, but we work continuously to protect your information.

11. Cookies, analytics, and tracking

KaraoClip uses cookies and similar technologies to keep the service working, to understand how it is used, and to measure the performance of our marketing.

• PostHog, our product analytics provider, helps us understand how KaraoClip is used so we can improve it.
• Meta Pixel helps us measure how people discover KaraoClip through advertising.

Our analytics and advertising providers may process this information in the jurisdictions where they operate, subject to applicable safeguards.

You can control cookies through your browser settings, and you can opt out of analytics tracking where your local law gives you that right. Disabling some cookies may affect how parts of the service work.

12. Music and licensed content

KaraoClip may include backing tracks and music in your greeting. This music is licensed for use inside the KaraoClip platform. If you download or share a greeting outside KaraoClip, the music and other content in it may remain subject to third-party rights and platform rules — you are responsible for complying with those rules when sharing content externally. 13. Your rights and choices

Depending on where you live, you may have the right to:

• access the personal information we hold about you
• correct inaccurate information
• request deletion of your information
• withdraw consent you previously gave
• object to or restrict certain processing

To exercise any of these rights, contact support@karaoclip.com. We may need to verify your identity before acting on a request.

Participants without an account

If you recorded a greeting as an invited participant without creating an account, you can still ask us to remove your recording. Contact support@karaoclip.com from the email or phone number you were invited with, and we will verify your request and remove your recording.

Who can delete what

The organizer of a greeting controls that greeting — including inviting participants, sharing the finished video, and deleting the greeting. An individual participant cannot delete an entire greeting, but can request removal of their own recording as described above. The full breakdown of organizer and participant roles is in our Terms of Service.

14. Where your information is processed

Your information — including your recordings — may be stored and processed in the United Kingdom and in other countries where we and our service providers operate. By using KaraoClip, you understand that your information may be transferred to and processed in locations outside your home country, with appropriate safeguards in place.

15. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify you. Continued use of KaraoClip after changes take effect means you accept the updated policy.
